Purpose of the Role
The Junior HR Manager provides comprehensive administrative and operational HR support to the National HR Manager, ensuring the effective execution of HR processes across multiple sites and regions. The role supports day‑to‑day HR operations, recruitment, payroll administration assistance, employee records management, disciplinary processes, compliance, HR systems, and reporting, contributing to consistent and effective HR service delivery across the Company.
Key Responsibilities
HR Administration & Operational Support
- Provide full administrative HR support to the National HR Manager and HR department
- Maintain accurate employee records, personnel files, and HR databases
- Ensure all HR documentation is correctly prepared, filed, and kept up to date
- Draft HR‑related correspondence, employment contracts, and standard HR documentation
Recruitment & Onboarding
- Assist with job postings, CV screening, and interview scheduling
- Coordinate onboarding processes, including induction packs and documentation
- Ensure all new employee documentation is completed accurately and filed correctly
- Support consistent recruitment administration across all regions
Payroll & Time Administration
- Assist with monthly payroll preparation and verification of employee data
- Capture and maintain leave records, attendance, and time‑keeping systems
- Ensure payroll‑related inputs are submitted accurately and within deadlines
- Support payroll accuracy in collaboration with payroll service providers
Employee Records & Compliance
- Maintain up‑to‑date employee files in line with statutory and Company requirements
- Assist with audits of personnel files, contracts, and compliance documentation
- Ensure all mandatory HR and compliance records are properly stored and accessible
Disciplinary & HR Process Support
- Assist with scheduling disciplinary hearings and preparing documentation packs
- Maintain records of grievances, warnings, and disciplinary actions
- Support disciplinary processes under the guidance of the National HR Manager
- Chair disciplinary hearings when delegated and under supervision
- Ensure all disciplinary actions comply with labour legislation and Company policies
Training & Development Administration
- Assist with coordination of training sessions and maintain training records
- Support tracking of employee development and skills documentation
- Assist with compilation of basic training and compliance reports when required
HR Systems & Reporting
- Capture and maintain accurate data on HR systems and spreadsheets
- Assist with generating basic HR reports and dashboards
- Ensure consistency and accuracy of HR data across all systems
General HR Support
- Provide day‑to‑day HR administrative support to regional and store teams
- Assist with HR projects, audits, and operational rollouts
- Support communication of HR policies, procedures, and updates to employees
Minimum Requirements
- Grade 12 (Matric) – Essential
- Tertiary qualification in Human Resources or related field – Required
- 3–4 years’ experience in an HR administrative or HR support role
- Exposure to disciplinary processes and HR case management – Advantageous
- Experience in retail, hospitality, or multi‑site environments – Beneficial
- Experience working with HR systems and time & attendance systems – Beneficial
Skills & Competencies
- Strong administrative and organisational skills
- High attention to detail and accuracy
- Good understanding of HR processes and labour relations fundamentals
- Proficiency in Microsoft Office (Excel, Word, Outlook)
- Ability to handle confidential information with discretion
- Strong communication and interpersonal skills
- Ability to work under pressure and meet deadlines
- Proactive, reliable, adaptable, and willing to learn
Salary offered : R22k-R25k according to experience
